Instructions for presentation

 

Oral presentations

 

Oral presentation slots are 40 minutes for keynote presentations, 30 minutes for invited presentations and 20 minutes for contributed presentations - this includes 5 minutes for questions.

Preparation of PowerPoint presentation

  • Presentations should be prepared in PowerPoint 2000 / 2003 or 2007.
  • Preferred page set-up is landscape orientation (portrait orientation may not be displayed properly)
  • High-contrast lettering and a readable lettertype should be used, with high-contrast colours: light text on dark background or vice versa
  • TIP: a maximum of 7 lines/slide and 5 words/line will improve the communication value of the slide (keywords should be used, rather than complete sentences)
  • Speakers are requested to save their presentation on a USB stick, CD or DVD and bring this to Ghent
Management on-site

  • Speakers are requested to hand in their presentation at the speaker desk as follows:
    • If the presentation is scheduled during the morning session: by 16:00 the day before
    • If the presentation is scheduled during the afternoon session: by 10:00 of that day

  • The staff will assist speakers with any changes they may have and make sure that the presentations are uploaded on the conference PC in the session room.

  • Speakers are requested to verify the content of their slide presentation (images, text, movies etc…) on the computer at the speaker desk. The organisers cannot be held liable for any loss of images during data transfer (CD-Rom, USB stick etc…).

  • Presentations from a personal laptop will not be allowed. The USB stick, CD or DVD containing the presentation cannot be given directly to the technical staff in the session room. Speakers are advised however, to bring the relevant device to the session room in case a problem would occur.

  • The session room has a technician to assist speakers with their presentation if needed. No more changes can be made inside the room where the session takes place.

  • Speakers need to be present in the session room about 15 minutes before the start of the session in order to check the presentation system with the technician.

Poster presentations

  • Posters will be presented using the poster boards provided by the organisers. The poster boards have a usable space of 90 cm (35 inch) in width and 120 cm (47 inch) in height (portrait orientation).

  • All posters will be on display for the duration of the conference.

  • Posters need to be set up on Monday 28 September between 16:00-18:00 or on Tuesday 29 September between 08:00-10:00. All posters need to be removed on Thursday 1 October, between 16:00-17:00.

  • Odd-numbered posters will be presented during Poster Session I (Tuesday 29 September, 15:30-18:00). Even-numbered posters will be presented during Poster Session II (Wednesday 30 September, 15:30-18:00).

  • Poster numbers matching the allocated poster numbers in the programme will be clearly marked on the boards.

  • To fix the posters on the boards, special adhesive tape needs to be used. This tape is available at the registration desk. It is strictly forbidden to use thumbnails or regular tape.

  • Posters that are not removed within the indicated timings will be taken down by the conference staff, who cannot take any further responsibility of the material in that case.
